These terms apply when you send TrueNorth Data Limited (“we”, “us”) a file for a free check. We will run it through our checks and send you a report of what it finds. The check is free and there is no commitment. If you later subscribe to the Service, our Terms and Conditions apply from then on, in addition to these terms for anything sent during the free check.
You may only send us data you are entitled to send. Before you send any data that belongs to someone else, including data from a client of yours, you must have that person's authorisation for us to receive and check it.
By sending a file you confirm that you hold that authorisation. If you do not, that is your responsibility and not ours. You must also tell us straight away if an authorisation is withdrawn. We may decline or delete any file where we believe authorisation is missing.
We use your file only to run the check and send you the report. We do not use it for marketing, we do not sell or share it, and we do not use one person's file to help another.
Files are received by email through a Gmail account provided by Google, which means they pass through and are stored on Google's systems (which may be outside New Zealand). We then process them on our own systems. Access is limited to the people who need it to run the check. As with any online transfer, we can't guarantee security, but we take reasonable steps to protect your files. Please avoid sending highly sensitive information.
We handle personal information in your file in line with the Privacy Act 2020 and its Information Privacy Principles. That includes collecting and using it only to provide the check, keeping it secure, not disclosing it except as needed or required by law, and notifying the affected people and the Privacy Commissioner of any privacy breach likely to cause serious harm. You can ask what personal information we hold about you, and ask us to correct it. Contact us at the address below.
The free check is provided as it is. It runs the checks we have configured for the file you send and cannot find every problem. The absence of a flagged issue does not mean there are none. The report is not accounting, tax, legal or financial advice. To the extent the law allows, we are not liable for loss arising from the free check or from decisions based on its report.
